What personal data we hold
All data will be obtained from you as the client or other authorised third parties and may include for example;
- Name, address, date of birth
- Tax references such as National Insurance Number and Unique Taxpayer Reference
- Contact details such as phone numbers and email
- Bank details
- Financial information such as your income and expenditure
- Your Tax records
- Payroll and Pension Information including Statutory Payment records
Where you data is held
Data could be held within our premises in paper format and in electronic format on our internal office computers and server. Data may also be held on the servers of external providers providing services such as web based email, cloud based software and data storage and transfer services. These servers may be based both in and outside of the EU.
What we use your data for
Here at Pennine Accounting Limited we take your privacy seriously and will only use your personal information to administer your account and to provide the products and services stated within our letter of engagement.
How long may we retain your data
In order to meet our regulatory and legislative requirements as accounting and payroll service providers we are obligated to hold your data for various periods dependent upon the type of data, for example
- The majority of tax and payroll records are to be retained for 6 years after the end of the tax year
- Copies of identification documentation taken to meet Money Laundering legislation requirements to be retained for five years after disengagement of our accounting relationship
- Paper based records will be returned to you following completion of work relating to your accounting and/or tax period. Once returned to you the responsibility for record retention is passed to you and you should retain these records yourself for the period required by legislation.
- Data retained by us will only be in electronic format once our engagement has ended and any outstanding physical records returned to you or passed to another accountant authorised by you to receive these.
Who is your data shared with
In order for us to deliver the services agreed with you, and also to help us protect your data, other companies that assist us may view your data, for example:
- Administrative, accounting and payroll software providers involved in the provision and management of services may assist us with technical matters
- To assist us meeting our obligation under Money Laundering Legislation we may share you data with AMLCC
- We may store a back-up copy of your data on external servers in order to help prevent data loss
- Our IT contractors may view your data whilst assisting us with software or hardware issues
- In the event that we are no longer capable of providing the agreed services to you we may share your data with Hargreaves Brown and Benson Accountants with whom we have a Continuity of Service Agreement for your assurance.
In order for us to deliver the services agreed with you, and also to help us protect your data, we will pass your details onto other companies that assist us, for example:
- Post in order to transmit information to you or other professionals or external authorities authorised by you, and for the provision of agreed services or to meet your statutory obligations for example with HMRC, Companies House, The Charities Commission, or The Pensions Regulator.
You can obtain copies of the data we hold by writing to us at our registered address and we will respond with 7 days.
